Which data do we process and why?

Contact form and quote requests

When you fill in a form, we receive your name, email address and message, and, if you provide them, your company name and phone number. We only use this data to answer your question or prepare a quote. You automatically receive a confirmation with a copy of what you sent. The legal basis is your request for contact (performance of a contract or steps prior to entering into one).

Chat, email, phone and WhatsApp

If you ask a question via the chat on our website, by email, by phone or via WhatsApp, we keep the conversation and your contact details to help you further. If you choose WhatsApp in the chat, WhatsApp opens and the WhatsApp (Meta) privacy policy also applies to that conversation.

Clients and projects

When we work together, we process the data needed to carry out and invoice the project, such as your name, company details, address, email address, phone number and payment details. We take extra care with any access to websites or hosting environments you share with us.

Website statistics

We use Google Analytics to see how visitors use our website, so we can improve it. This only happens if you give permission in the cookie banner. IP addresses are anonymised and Google may not use the data for other services. You can withdraw your consent at any time via the Manage consent button at the bottom of the website.

Technical data

Our server logs standard technical data with every visit, such as your IP address, browser and time of visit. We only use this to keep the website secure and working properly and to prevent abuse such as spam.

How long do we keep your data?

  • Messages via forms and the chat: up to 12 months, after which they are deleted automatically.
  • Quotes that do not lead to a project: up to 12 months.
  • Client and invoice data: 7 years, as required by Dutch tax law.
  • Statistics in Google Analytics: up to 14 months.

Who do we share your data with?

We only share your data with parties we need to deliver our services, such as our hosting provider, our email provider and Google (for statistics, only with your consent). We make agreements with these parties about security and confidentiality. Apart from that, we only pass on data when the law requires us to.

Some services, such as Google, may process data outside the European Union. This only happens with appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses.

Cookies

We use functional cookies that are needed for the website to work. We only place statistics cookies after you give consent. We do not use marketing or advertising cookies. Our cookie policy lists exactly which cookies we use.

How do we protect your data?

We take appropriate measures to protect your data against loss and misuse. Our website runs entirely over a secure connection (https), only we have access to submitted messages and we keep our software up to date. If you feel your data is not properly protected or you see signs of misuse, please contact us right away.

What are your rights?

You have the right to access, correct or delete your data. You can also object to the processing, ask us to restrict it and have your data transferred to another party. If you have given consent, you can withdraw it at any time.

Send your request to info@kwdv.nl. We will respond within four weeks. To make sure the request comes from you, we may ask you to confirm your identity.

Filing a complaint

Not happy with how we handle your data? Let us know and we will look for a solution together. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Changes

We may update this privacy policy when our way of working or the law changes. The date at the top shows when it was last updated.
